Employee & Organizational Development Office
Rebecca Murphy & Tim Yorkey
425 Cumulative Hours
Overview:
I worked at the Employee & Organizational Development (EOD) office for a year and a half in various positions. I began as an intern, which became a six month long training process for the graduate assistant positions. I was trained by Ashley Beaudoin and Sarah Claiborne at various general office responsibilities. The work of the interns and graduate assistants is integral to the functioning of the EOD office. I have included a brief overview of the daily responsibilities below:
Intern:
The internship position is a specialized position within the EOD. Interns are not responsible for general office duties as the graduate assistants; however, if the graduate position is coveted, the internship also transforms into a longer then average onboarding process. I volunteered to retain my intern responsibilities when I transitioned into a graduate assistant in January 2015. Some of the responsibilities included in the intern position are as follows:
- Facilitating focus groups;
- Designing training courses;
- Facilitating training courses;
- Collaborate with special initiatives with various departments/offices.
Office Graduate Assistant:
As I transitioned into the graduate assistant position, I took on more office-based responsibilities. The EOD office is involved with various projects and initiatives that graduate assistants are a much needed asset in the front office for answering phone calls and delivering outstanding service excellence to all stakeholders. A few of the responsibilities required of an office GA are as follows:
- Answering/screening phone calls & emails;
- General Telephone etiquette
- Scheduling/attending appointments/meetings both for and/or with supervisors;
- Arranging the office schedule and monitor the office calendar;
- Delivering sensitive materials to other offices;
- Preparing materials for training courses;
- Setting up meeting rooms for training courses;
- Scheduling training courses and participants into courses;
- Answering/clarifying questions of visitors;
- Utilizing Microsoft Office software and Adobe suite programs;
- Analyzing data using SPSS and Qualtrics;
- Multitasking in a fast-paced environment;
- Creating activities for training courses.
Marketing Graduate Assistant:
In January 2016, I transitioned from the office GA position to the marketing GA position. I accepted this position in order to work remotely from my home in the southern Atlanta area while I complete my degree program. As the marketing GA, my responsibilities were non-traditional as I still remained involved with some of the other non-marketing projects that were able to be accessed remotely. A few of the responsibilities of the marketing GA are as follows:
- Designing press releases for the Campus Wellness Committee for upcoming events;
- Developing special initiative to market training courses with non-University course instructors;
- Customizing biweekly emails for professional development for staff and faculty;
- Designing press releases announcing recipients of service excellence recognition pins and certificates for the I Caught You Caring program;
- Updating course descriptions & instructor biographies for the Professional Development Consortium courses;
- Developing survey design for the Campus Wellness Committee;
- Designing and mailing out flyer advertisements for VSUs Society for Human Resource Management student organization.
Staff Meetings and Assignments:
I have included examples of the general office duties and staff meeting minutes below:
Application:
During my time as an intern/graduate assistant, I was able to learn about how organizations operate and how important the various roles are to the success of an organization. I accrued a vast amount of experience in training and development, human resources, compliance, and marketing. All of the skills that I learned from my general office duties can be directly applied to whichever area I decide to call my career. I learned valuable skills on how to work effectively and efficiently in a fast-paced, high-demand environment and how to collaborate with different work styles and personalities.
