Training Facilitation
Employee & Organizational Development
Rebecca Murphy & Tim Yorkey
85 Cumulative Hours
Overview:
The EOD office regularly facilitates training courses over various topics. Rebecca Murphy and Tim Yorkey are dedicated to providing each GA with a well-rounded experience so that the GAs have an edge on the competition when entering the career world. I volunteered to help with many courses offered through the EOD office. I have detailed my training facilitation experience below.
Partners for Campus Excellence:
Partners for Campus Excellence (PFCE) is a course designed to address retention rates and customer service initiatives. I volunteered to assist Tim Yorkey with the development and facilitation of the PFCE course. The content did not require altering so Tim and I developed exercises to involve the class with the course material. The PFCE course is a six-hour course divided up into a two-day training. For the first day, I shadowed Tim to see how he interacts with the group. I took over for the second day of training. I covered the final concepts of campus run-around and how everyone plays a part in retention and service excellence. At the end of the training, we toss a bundle of yarn around the circle and talk about one concept that each participant would take with them from the course. As we asked random participants to drop their portion of the yarn, other participants would scramble to keep the yarn taut. This exercise delivered the message of how interconnected the VSU campus is and how negatively one snag in service excellence affects the whole group.
The next PFCE course was turned over to me with Tim acting as co-instructor. I taught the entire two-day course and conducted exercises and class discussion. The feedback from this course was extremely professional and positive. I only needed to improve my speaking speed. I have included some of the materials used for the course below:
Materials:
Service Excellence - Telephone
Service Excellence - Face to Face
Compliance Modules:
The annual compliance modules are required to be completed by all faculty, staff, and student employees. Compliance policies change and require updating every year. For the 2015 compliance year, I was put in charge of moderating the compliance modules which required checking the content to ensure that all the information is up-to-date and contact SMEs for assistance in updating the content. One of the new changes this year was the anti-harassment training. VSU switched to a learning management system for the anti-harassment training called Everfi. I created a job aid to train faculty, staff, and student employees on how to access the Everfi training system and regularly volunteered my time to assist employees that were experiencing difficulties with the compliance modules. I have included the training aids below:
Materials:
Everfi - Faculty & Staff
Everfi - Students
Performance Management (PM) Supervisory Sessions:
I volunteered to assist with two management level face-to-face sessions for the new PM system. Each training course was evaluated via smile sheets to assess the utility of the information and the professionalism/delivery by the instructor. I was accompanied by an experienced training facilitator for each course who gave me direct feedback on how to improve and what I excelled at most during the training facilitation.
The first session I moderated was with Tim Yorkey and Benjamin Weil. As this was the first management level training, I answered a few questions from participants and assisted in the activities. Participant reactions to the training were positive and the supervisors voiced opinions about how beneficial the new system will be; however, they also wanted more training as each phase of the new system approached in an effort to better understand the intricacies of each cycle.
The second session I acted as co-instructor with Rebecca Murphy at Plant Operations. This management training was designed for all of the supervisors that work in Plant Operations. The training was a three hour session with 15-20 supervisors. Becky and I split the training up into two pieces with Becky starting the training and me finishing it. I spoke about the rating scale, progress notes, and the final assessment. The training was received differently as the supervisors felt that the new PM system being online would be difficult for their employees to complete. We received this feedback and ensured the supervisors that the EOD staff would assist in any way possible.
Overall, the courses were successful. The participants viewed me as a knowledgeable, professional source. The information delivered was well-received and the feedback from participants were constructive and full of praise. I took extra care to ensure that I was explaining the information and the new PM cycle as if I were hearing it for the first time and I looked for tips and tricks to help increase the level of understanding in each session.
Travel Procedures & Expenses:
The Travel Procedures and Expenses training is a four-hour course designed to assist staff and faculty with University travel policies and the procedures for completing expense reports. The course is offered intermittently throughout each semester, which is when the instructor approached the EOD office to assist in lightening the load of training. The Office of Financial Services was in the middle of major changes and the office became extremely busy. The instructor reached out to the EOD office because of our ability to design and develop online training courses.
I volunteered to learn the Camtasia recording software to create an online tutorial that mimics the face-to-face training. I attended two in-person courses to gather all the information that was not included in the guide dispersed for each course. I spent over 85 hours recording and editing the Camtasia videos. I submitted the videos to be reviewed by a SME. Once the videos met all of the required criteria, I formatted each video to be uploaded to YouTube. I created four videos consisting between 6-20 minutes in length. I was able to cut down the time of the training by half the length of the in-person course. I also created a Google+ account for the EOD office where future training videos could be uploaded for University purposes. You can find the tutorials by visiting the link provided here.

Application:
When looking into potential careers, one of the activities that stood out for most of the positions that I found to be of interest require 25-50% travel time and the ability to give presentations and speak in front of large groups. The experience I gained through facilitating training courses has given my the ability to communicate clearly and confidently to a room of peers and supervisors. I am confident that the skills I gained from being an instructor will assist me in an organization that values employee and/or organizational development.
